The Director of First Impressions/Billing Specialist will serve visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival; maintain confidentiality, security, and multi-line phone systems.
Responsibilities:
- Welcoming visitors by greeting them, in person or on the phone; answering and referring inquiries to correct staff member .
- Directing visitors by maintaining employee and department directories; giving instruction.
- Maintaining security by following procedures and monitoring the electronic logbook.
- Maintaining safe and clean reception area by complying with procedures, rules, and regulations.
- Maintaining continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Sorting and distributing mail.
- Managing office supplies, ordering as required.
- Assisting with presentation of new hire paperwork and copying identification.
- Assisting human resources and marketing with company events including set up, tear down, ordering supplies, etc.
- Updating company intranet check out board as requested.
- Assisting Project Managers and field personnel with copies.
- Keeping office appearance intact including plants, decorations, and general requests from company management.
- Perform all billing of assigned Project Managers (i.e., contract bids, quoted work, time, and material, etc.).
- Review invoices, pay applications and all required attachments with the Project Manager before sending out.
- Collect required lien waivers to submit with billings.
- Compile various spreadsheets for the Division Managers/Project Managers.
- Contributing to team effort by assisting management and office personnel with various projects and tasks as needed.
Requirements:
- High school diploma/GED with some college preferred.
- 2 years of administrative experience and/or the equivalent combination of education and experience.
- Previous billing experience is preferred but not required.
- Must possess strong attention to detail, focus on accuracy, solid communication skills, positive initiative and judgement, the ability to maintain confidentiality, problem solve and meet deadlines, and be organized.
