The Office Manager will be responsible for
general office administrative duties along with specialized assistance
to
client relations, marketing, finance, project management and site managers
.
Responsibilities:
- Answer and route incoming phone calls; provide professional front-line communication
- Organize and maintain new client lists and contact information
- Open, distribute, and manage incoming mail
- Complete and maintain new client survey documentation
- Order office and project-related supplies
- Enter, update, and manage client information and files within Buildertrend
- Scan, file, and maintain invoices and project documentation
- Prepare documents and materials for client meetings
- Draft and prepare proposals, change orders, and supporting documentation
- Create, track, and manage lien waivers
- Assist with review of monthly invoices and cost documentation
- Support utility and permit application processes
- Assist with real estate and project-related paperwork
- Manage physical and digital filing systems
- Schedule meetings and coordinate calendars
- Prepare weekly status reports and assist with cost tracking and budget management
- Attend client meetings, take detailed notes, and manage follow-up items
- Assist in organizing, updating, and procuring product selection samples and materials
- Support follow-up on inactive or “cold” files
- Assist with entering and processing weekly payroll
- Run occasional errands as needed to support office and project operations
Job Requirements:
- High School Diploma, GED, or equivalent required
- 1-5 years of administrative or office management experience , or equivalent combination of education and experience required.
- Ability to problem solve and multi-task.
- Attention to Detail.
- Communication Proficiency (Oral and Written).
