Patient Care & Financial Coordinator
Pay: $22–$26/hour, depending on experience
Essential Duties & Responsibilities
Patient Care & Scheduling
- Serve as a key point of contact for patients, surgeons, and clinical staff throughout the treatment process.
- Schedule consultations, surgical procedures, and follow-up appointments across multiple office locations.
- Review treatment plans, costs, and next steps with patients and ensure they understand their recommended care.
- Answer patient questions regarding procedures, pre- and post-operative instructions, and office policies.
- Coordinate referrals with general dentists and specialists and maintain accurate referral documentation.
- Maintain accurate, up-to-date, and confidential patient records in compliance with HIPAA regulations.
Insurance & Patient Accounts
- Verify dental and medical insurance benefits and communicate coverage information to patients.
- Prepare and explain treatment estimates, financing options, and payment arrangements.
- Process patient payments, post charges and adjustments, and maintain accurate account balances.
- Reconcile daily transactions and assist with billing and month-end reporting as needed.
Collections & Account Follow-Up
- Monitor patient accounts and aging reports for outstanding balances.
- Contact patients regarding overdue balances by phone, email, or mail in a professional and courteous manner.
- Establish payment arrangements in accordance with practice policies.
- Accurately document collection efforts and patient account communications.
- Escalate delinquent accounts to management or an outside collection agency as needed.
- Identify trends in outstanding accounts and assist with improving collection processes.
Qualifications
- High school diploma or equivalent required; associate degree or relevant certification preferred.
- 2+ years of experience in a dental, oral surgery, medical, or healthcare office preferred.
- Familiarity with dental/medical insurance, billing, and coding preferred; training may be provided.
- Strong communication and customer service skills with the ability to discuss financial matters professionally and tactfully.
- Excellent organizational skills and attention to detail.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Ability to maintain patient confidentiality and comply with HIPAA requirements.
- Strong ability to multitask and prioritize in a fast-paced healthcare environment.
