Position Summary:
We are seeking a reliable and organized Office Assistant to help maintain efficient day-to-day operations in our office. This individual will perform a variety of administrative and clerical tasks to support the team, ensuring smooth workflow and excellent customer service.
Key Responsibilities:
- Answer and direct phone calls in a professional manner
- Greet and assist visitors
- Maintain organized filing systems (physical and digital)
- Schedule appointments and meetings
- Handle incoming/outgoing mail and deliveries
- Order and maintain office supplies
- Data entry and document preparation
- Assist with special projects and support other staff as needed
Qualifications:
- High School diploma or equivalent required
- Previous administrative experience preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Ability to multitask and manage time effectively
- QuickBooks experience (payables/receivables)
Physical Requirements:
- Ability to sit or stand for extended periods of time
- Ability to lift up to 25 pounds occasionally (e.g., boxes of paper, office supplies)
- Manual dexterity to operate office equipment (e.g., keyboard, copier, scanner)
- Ability to bend, reach, and stoop as necessary for filing and organizing
- Visual acuity to read and prepare reports, spreadsheets, and other documents
- Clear speech and hearing for phone and in-person communication
