ADMINISTRATIVE ASSISTANT- MANUFACTURING
HOURS: 1ST SHIFT FULL TIME
TEMP TO PERM: $17/HOUR
LOCATION: FREEPORT, IL
 
Administrative Assistant
Position Summary:
 
Under the direct supervision of the General Manager this position provides administrative support for the General Manager and plant operations. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings, obtaining supplies, coordinating direct mailings, and working on special projects. Independent judgment is required to plan, prioritize and organize diversified workload.
 
Essential Functions:
 
  1. Creation of reports / tracking of performance to support GM  (Daily, Weekly, Monthly)
    1. Expense control
    2. Facility Variance reports
    3. Facility S&OP charts / presentation
  2. General administrative responsibilities in support of GM
  3. Track  (ie customer visits, birthday’s, anniversary’s, safety meeting notes,
  4. Posting of information / performance indicators for daily Huddle board meetings
  5. Maintain Training, Cross training and Safety training logs
  6. Maintain and monitor vacation schedules
  7. Maintain attendance program reporting
  8. Maintain and coordinate the facility Hero program
  9. Coordination of facility Safety meetings, minutes and action items
  10. Send new hire paperwork to the Corporate HR Department, and ensure I9 documentation is signed and verified
  11. Back up for specific job functions within the facility (i.e.  Billing, Wisetrac, inbound phone calls, etc.)
  12. Other duties as assigned
 
Required Knowledge, Skills and Abilities 
 
  1. Demonstrated administrative experience
  2. Organizational, multi-tasking, and prioritizing skills.
  3. Strong sense of urgency and problem solving
  4. Strong interpersonal skills
  5. Excellent communications skills, both written and verbal
  6. Computer proficiency (Excel, Word, PowerPoint, Share Point, etc.)  
 
Minimum Required Experience or Education:
 
  1. 5-7 years related experience
